Exhibitor Area Graphics and Space

Each sponsor will be assigned a table-top position in the exhibit/catering area of the venue as follows:
  • A single 2m x 2m roller banner produced to your design - artwork deadline 30 May 2025. Download specification.
  • 1 table (black drape L: 150cm x W: 75cm) - You may add your own branded tablecloth.
  • Wireless internet available.
  • A standard electrical connection – sponsors are recommended to bring additional power strips.
  • 2x chairs supplied
The 2m-wide pull-up banners will be of common type and design and there is NO provision for sponsors own pop-up or pull-up signage or any free-standing equipment. Any demo screens must be of a table-top size or maximum stand size of 40”. Screens can be hired (see section 'Screen Hire' below).
The banner is yours to keep after the event, packaging will be provided but you will be required to arrange for collection or for your booth staff to take it away with them.

Booth Collateral

Deliveries will be accepted from 30 June 2025 between 09:00 and 17:00. In order for us to easily identify your items, please use this shipping label. The label provided should visible after any other courier/shipper labels are added. This will allow us to ensure they are placed in your exhibition space prior to your arrival on the morning of the event and to speed up your setup time.

Conference Handouts/Giveaways

Platinum Sponsors may supply materials for distribution to all delegates via a seat-drop – such items (200 required) should be clearly marked and arrive at the venue no later than 16:00 on 30 June 2025 using the shipping label.


Access Time / Exhibit Area Set-Up & Tear-Down

Sponsor access to the venue will be from 07:00 on 1 July 2025. The 2m-wide display banners will be in place. All set-up should be completed by 08:15 ready for the 08:30 opening of registration when delegates will start to arrive. We will ensure that all clearly identifiable pre-delivered materials are at your booth space at 07:00. Please use the shipping label available here and contact Sharon Cowley if you have any queries.

Tear-down will commence after the drinks reception at the end of the day – this will be at approx approx 17:00 or earlier if advised onsite by the organisers.

If you are planning to have any items or materials collected by courier, please contact the organising team who will advise where the consignment should be stored once packed.
Please note that neither Angel Business Communications, IT Europa nor the venue can accept responsibility for items left unattended for collection.

Catering

Sponsors and delegates will be provided with all meals and refreshments during the day.


WiFi Access

Wireless internet access will be available free-of-charge to all sponsors.

Information on hard-wired connections will be available soon.

Noise Levels

Streaming videos etc from booths will be permitted providing they do not interfere with the conference or any other Sponsor. The Organisers reserve the right to request that sound levels are reduced or switched off completely during conference session times or if noise levels are impacting another sponsor's experience.


Security

Please do not leave portable or valuable items unattended during the event. The organisers cannot assume any liability for damaged and/or missing property.
